Meeting # 2 - November 25, 2004 Attendance Smegma, Saddle Sniffer, Pugak, Smallbone, Hugh What, Extra Testicle Absent with Apologies Camel, Pope, Ice Dancer, Cabbage Business Notes of previous meeting no. 1 agreed. Previous events Concensus was that the previous runs and On On's were on the right track, generally OK and well attended. New events Santa Hash Southside in full support and would donate $1000 towards Operation Santa. Smegma to inform GM WH3 requested assistance in obtaining sponsers if possible but the committee doubted as it was so late in the day whether they could assist as they had already tapped regular sponsers for the 1500 run already this year. Location most likely South Island School. Treasure Hunt This would be largely a self funding event with maximum RS2H3 support limited to $1000 due to over expenditure in previous years and hares would be advised by Smegma. Hares to submit an estimate budget for agreement and run fee. Scribes to circulate to other hashes. 25 Shirts have already been purchased and would be sold at a slight profit. Date of the event 11 Dec 03. Gentlemens Evening Previous evening a great success. Saddle suggested a day out at Shatin races followed by a meal after and would arrange sometime in February 04. Designer waist-coats would be looked into by Saddle, Smallbone and Ice. Tram Party. Smegma to find out costs of a tram party and advise. Tours Previous tours to Phuket and Bangkok very successful. Well done ET. Next tour likely to be Spiders On Home sometime in March. Cambodia mooted as favourite. ET to check locations and prices. Other places mentioned include Shanghai, Penang and Jakarta as possibilities. Stash Ice Dancer has taken over from Caligula. Stash suggestions are Decent Bag, Rugby Shirt, Spiders On Home Shirt, Coolers. Ice to follow up. Leavers and Recruitment Generally felt that current numbers about right but as several members had either left or were leaving a lookout for suitable new recruits would actively be encouraged. Cash Cash in hand about $12,000 which was an improvement to what the committee inherited. Banking had been formalised at long last under the name of Royal Southside Hash Hash Harriers. Well done Camel and Tinks. Website Suggested that outdated contents and folders be closed down. Web Master asked for contributions. Noootes Axcellent although circulation appeared to be a problem for some members. Smallbone to continue to copy to small number as usual. Onelist to be updated. Circulation of Tour noootes restricted to tour group only. Runlist Good Job Cabbage AOB Hash Freemasons the Last Suppers would need to be taken up by the Last Suppers themselves if they wished to re-invent the tradition. New Award Bullshit of the Week currently held by Smallbone... that figures. ET had no objection to any mini tours being arranged in his absence. Saddle thanked for hosting the meeting. Future Events Action Special Run every three months, with posibilities such as Saddle Junk Trip/Run, Pub Run, Treasure Hunt. Vice Master to arrange. Gentlemens evenings with lock ins, ET's 60th Birthday. Santa Hash by Sek Kong Hash maybe need for Southside Skit Committee to check run counts and look for any special holiday or oportunities for a Southside gathering. Tours List of suggested tour locations and dates to be drawn up shortly ET First tour likely to be Phuket around Sept 11th-14th celebrating ET's retirement/Big 60 Consideration for popular locations such as Macau, Shekou, AC and Pattaya for weekend quickies plus more exotic locations such as Burma, Lao, Vietnam, Cambodia. Likely to be about 4 tours during the year. Diving tour under consideration in Oct but limited numbers as it was a livaboard. Cash Cash Balance and cash flow discussed and motion carried as follows:- Attendance Run Fee increased from $10 to $30, Guest Fee to remain at $60 for first five runs and increased to $80 for subsequent runs to encourage membership/autopay. Art explained hash cash process and time involvement. In view that Camel may be absent some of the time HM to arrange a meeting with Camel and Tinks to sort out running of hash cash. Hash Cash will not be responsible for tour shortfalls or any unauthorised stash etc. Members recognised the need to achieve a healthy balance and avoid the need for Hash Cash to sub the account and it was suggested that Hash Cash bill any debtors for a one off cash settlement Current balance about $2600 which is not sufficient working capital. Hash Cash to provide bi-monthly statement. Stash Pugak previous Hash Stash was thanked for his contribution last year and Caligula noting some excellent stash. Stash this year would be limited to special events and note the need to prevent over ordering. Rule of thumb. No. of members plus five for ordering and sizes important (Art 42in) All official stash through Hash Stash. Hash Stash to provide inventory of existing stash and approx value.and make every effort to sell stash to improve cash flow. Web Master. Change of colour muted for marketing. Web up and running. Bring back some of the long forgotten traditions:- Dead Hares, Louis', Hash Shit, etc Generic shirt to be awarded with Christening of New Members Post meeting note ET demonstated how to do a double back flip and pike unsuccessfully and scored 8 for artistic merit and awarded two fractured ribs for his trouble.
